RISK MANAGEMENT & INCIDENT REPORTING

Pro Forma Request & Check-lists to be used on all  projects with a liability exposure.
Proposed projects with an unknown risk element to be approved by DIO/Insurer.
Incident Report Form to be completed for all ‘slip & fall’ or other potential claims.
RI reporting guidelines to be used for alleged   molestation/harassment incidents.

RISK INHERITANCE

Due to cost and availability, many community groups look to Rotary to operate their event under Rotary’s liability umbrella.

Our liability insurer will not accommodate any risk that is not subject to Rotary’s risk management processes, and outside the control of Rotary.

1.Full description of the event to be forwarded to DIO for preliminary acceptance.
2.The event/project to be in Rotary’s name.
3.Monies raised deposited in a Rotary account.
4.The event operated under Rotary control, using Rotary risk management procedures.
5.All publicity to recognise Rotary.
6.Outside Operators must have their own liability cover
Remember we cannot accept any inherited activity under our liability, without these requirements being met.

Weekly Injury - 7 Days

A ‘journey’ is defined as:
  Travel exceeding 50 km from the insured person’s normal place of residence, on a 24 hour basis until returning thereto, to a maximum period of 90 days.

N.B. DGsE and Partners are automatically covered to attend GETS in San Diego. Do not purchase R.I. travel insurance.

ROTARY PROGRAMS

*Some Rotary programs fall outside the definition of a “journey” as the duration of the travel exceeds 90 days. Care should be taken with the following:

RAWCS Volunteers
Ambassadorial Scholars
Peace Scholars
Any other official Rotary activity where the period of travel could exceed 90 days.

TRAVEL INSURANCE
To arrange travel insurance for any journey exceeding 90 days in duration, contact your DIO.

As this falls outside the District Insurance Program, an additional premium will apply.

For budgeting purposes, allow an annual premium of $750

DIO ROLE AND RESPONSIBILITY

Risk Management advice to DG and Clubs
Risk Management training to Assistant Governors
Insurance presentations at PETS, Assemblies etc
Travel Insurance support & advice to YEP
Provision of Insurance Certificates of Currency
Prompt incident & claims reporting to Aon & NIC
Advice & support for District Protection Officer
Completion of annual Insurance Return to Aon

DPO ROLE AND RESPONSIBILITY

Willingness to serve for at least three years.
Oversee the clubs’ processes in relation to screening.
Review and maintain a Register of Volunteer Declarations, which include relative State &Territory police checks.
Work with clubs to provide information in relation to their obligations under District policy and local laws.
Ensure appropriate Certification training is provided at PETS & Assemblies
Maintain records of all allegations made.
Ensure proper handling of any complaint or allegation.

DG ROLE & RESPONSIBILITY

Be familiar with all insurance and risk management requirements.
Support your DIO and DPO at District Officer training days, and ensure they are allotted reasonable time at PETS, Assembly.
Set an example by having a current WWC/ Blue Card or equivalent, along with your Volunteer Declaration.
